- Prepare and execute trip itineraries, arrange travel schedules and funding requirements, and make necessary travel reservations and coordination.
- Create and format ad hoc and routine reports, presentations, spreadsheet projects, etc. as requested.
- Coordinate meetings including room set up, preparing agendas, and printing reports or documents needed.
- Maintain strong communication skills for interaction with high-level customers and executives on sensitive, complex, and high-value activities daily.
- Use office automation systems and various software packages (including the Microsoft Office suite) to accomplish work.
- Support the President and other executives in all matters related to external meetings, agenda, and Leadership Team meetings, among others.
- Serve as personal assistant to the President on administrative matters.
- Minimum of an Associate Degree in Business and or Office Management Degree.
- A minimum of five years of combined experience as an executive assistant or other relevant administrative support experience.
- Experience in organizing daily workload by priorities in a fast-paced and quickly changing environment.
- Handles complex and confidential information with discretion.
- Meets deadlines and establishes appropriate priority to complete assignments in a timely manner.
- Communicates effectively and professionally in both written and oral form in English and Spanish.
- Manages and maintains complex calendars and schedules, and effectively navigates appointments.
- Meets deadlines, works independently, and maintains accountability and focus.
- Manages workload, works efficiently and meets goals and objectives.
- Proficient in the entire Microsoft Office suite.
- Organized and accessible, maintains efficient workspace, manages time well.
