Company OverviewOur client, leader in the industrial equipment industry with more than 50 years of establishment in Puerto Rico and LATAM. You are looking for a Project Coordinator.Responsibilities and Duties
  • Manage Smaller Projects: Take ownership of smaller projects with lesser scope, budget, and complexity, ensuring their successful completion within designated timelines and resource constraints. This includes coordinating with team members, tracking progress, and resolving any issues that may arise during project execution.
  • Assist Project Managers: Collaborate with project managers to facilitate the coordination of project activities and allocation of resources. This may involve scheduling meetings, preparing agendas, and ensuring that all stakeholders are informed about project milestones and deliverables.
  • Schedule and Facilitate Meetings: Take responsibility for scheduling and facilitating meetings with project stakeholders, including internal team members, clients, vendors, and other relevant parties. Prepare meeting agendas, document discussions, and follow up on action items to ensure accountability and progress.
  • Maintain Project Documentation: Keep accurate and up-to-date documentation for all aspects of the project, including project plans, risk logs, issue logs, schedules, and status reports. Ensure that documentation is organized, accessible, and effectively communicates project progress and outcomes to stakeholders.
  • Track Project Progress: Monitor and track the progress of projects against established milestones and key performance indicators (KPIs). Identify any deviations from the project plan and work with the project team to address issues and mitigate risks in a timely manner.
  • Support Budget Management: Assist in the development and maintenance of project budgets by tracking expenses, monitoring resource utilization, and identifying cost-saving opportunities. Collaborate with finance and accounting teams to ensure accurate financial reporting and adherence to budgetary constraints.
  • Assist in IT Platform Transformation: Play a role in the implementation of IT platform transformation initiatives, working closely with IT specialists and other stakeholders to ensure seamless integration, minimal disruption, and maximum efficiency gains.
  • Perform Other Related Functions: Undertake any other duties or responsibilities that may arise during project coordination activities, as directed by supervisors or required to meet the objectives of the position and the needs of the company.
Education & Requirements
  • Bachelor’s Degree: Possess a bachelor’s degree in business administration, project management, or a related field to demonstrate a foundational understanding of project coordination principles and practices.
  • Experience: Have 2+ years of relevant experience in project coordination, preferably in the IT or heavy machinery rental industry, showcasing the ability to support project management activities effectively.
  • Proficiency in Project Management Software: Demonstrate proficiency in using project management software to assist in project planning, tracking, and reporting.
  • Organizational and Multitasking Skills: Exhibit strong organizational and multitasking skills to manage multiple projects and tasks simultaneously, ensuring their successful completion within designated timelines.
  • Communication Skills: Have excellent written and verbal communication skills to effectively communicate with project stakeholders and team members, ensuring clarity and alignment on project goals and deliverables.
  • Proficiency in MS Office Suite: Be fully proficient in using the MS Office suite, including Word, Excel, and PowerPoint, to create and maintain project documentation.
  • Customer Service Experience: Have proven experience in a customer service-driven culture, demonstrating the ability to understand and meet customer needs and expectations.
  • Bilingual Proficiency: Be fully bilingual to effectively communicate with stakeholders and team members in both English and Spanish.
  • Willingness to Travel: Be able and willing to travel island-wide and abroad when required for project-related activities.
  • CAPM Certification (Preferred): Possess a Certified Associate in Project Management (CAPM) certification, demonstrating foundational knowledge and skills in project management (preferred).
