Logistics & Expediting Specialist

• Own visibility and follow-up across all open purchase orders, including acknowledgements, ship dates (ESDs), and order status.
• Track and update order information in internal systems (ERP and tracking tools), ensuring accuracy and consistency across POs and SOs.
• Proactively follow up with vendors to confirm timelines, identify delays, and drive accountability.
• Manage backorders, partial shipments, and delivery changes while maintaining clear internal visibility.

• Coordinate shipments between vendors, carriers, warehouses, and internal teams.
• Manage shipping instructions based on FOB terms, customer requirements, and billing structure.
• Prepare and coordinate shipping documentation, including packing lists, labels, BOLs, and commercial invoices when required.
• Coordinate pickups with parcel carriers, LTL providers, and freight forwarders.
• Track shipments through delivery and resolve issues related to routing, scheduling, or documentation.

• Ensure alignment between order status, shipment activity, and invoicing readiness.
• Validate and maintain accurate documentation across all orders and shipments.
• Support invoicing by confirming shipment completion and documentation accuracy.
• Maintain organized and auditable records across all order activity.

• Identify inefficiencies in logistics workflows and recommend improvements.
• Support optimization of processes related to expediting, shipping coordination, and order tracking.
• Contribute to improving visibility, communication, and overall logistics performance.

• 2–5+ years of experience in logistics, order management, expediting, or operations.
• Strong attention to detail and ability to manage multiple active orders simultaneously.
• Experience with ERP systems and Excel (required).
• Practical knowledge of freight coordination, shipping processes, and vendor follow-up.
• Strong communication and organizational skills with a high level of ownership.
• Ability to work in a fast-paced, execution-driven environment.
• Fluent in English and Spanish (written and verbal).

• Experience in industrial distribution, manufacturing, or technical products.
• Familiarity with import/export logistics and freight billing structures.
