*Job Summary*
We are seeking a highly organized and proactive Assistant to provide comprehensive support in a dynamic office environment. The ideal candidate will possess strong administrative skills and the ability to manage multiple tasks efficiently. This role involves assisting with event planning, project coordination, and various clerical duties to ensure smooth operations within the organization.*Duties*
  • Provide executive administrative support, including managing calendars and scheduling appointments using Microsoft Outlook Calendar.
  • Coordinate events and meetings, ensuring all logistics are handled effectively.
  • Maintain organized filing systems and perform data entry tasks to keep records up to date.
  • Assist with bookkeeping tasks, including basic accounting functions using QuickBooks.
  • Handle phone etiquette professionally, managing multi-line phone systems and addressing customer inquiries.
  • Utilize Google Workspace and Microsoft Office for document creation, proofreading, transcription, and other clerical tasks.
  • Support office management activities by maintaining supplies and ensuring a clean work environment.
  • Assist in project coordination by tracking deadlines and deliverables while communicating updates to relevant stakeholders.
  • Provide personal assistant support as needed, including travel arrangements and personal scheduling.
*Requirements*
  • Proven administrative experience with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping purposes is a plus.
  • Excellent typing skills with attention to detail for accurate data entry and proofreading tasks.
  • Strong communication skills with a focus on customer service and phone etiquette.
  • Experience in event planning or project coordination is desirable.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Previous experience in clerical roles or front desk positions is beneficial. We are looking for a dedicated individual who can contribute positively to our team while maintaining high standards of professionalism and efficiency in all tasks performed.
