We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office, providing support to various departments, and enhancing customer satisfaction. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to delivering high-quality administrative support.*Responsibilities*
  • Manage front desk operations, greeting visitors and handling inquiries with professionalism.
  • Operate multi-line phone systems to manage incoming calls efficiently.
  • Perform data entry tasks accurately and maintain organized filing systems.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support through effective communication and problem-solving skills.
  • Utilize Microsoft Office and Google Workspace for document preparation, presentations, and spreadsheets.
  • Conduct proofreading of documents to ensure accuracy and clarity.
  • Support bookkeeping tasks as needed, including invoicing and expense tracking.
  • Maintain office supplies inventory and assist in office management duties.
  • Collaborate with team members to improve administrative processes.
*Skills*
  • Proficiency in QuickBooks for financial management is a plus.
  • Experience in front desk operations or as a dental/medical receptionist is highly desirable.
  • Strong clerical experience with attention to detail in filing and documentation.
  • Bilingual abilities are an asset for effective communication with diverse clients.
  • Excellent computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Effective phone etiquette and customer service skills to enhance client interactions.
  • Time management capabilities to prioritize tasks effectively in a fast-paced environment.
  • Previous experience as a personal assistant or administrative support is beneficial.
