- Greet clients, visitors, and vendors in a courteous and professional manner.
- Answer, screen, and direct incoming phone calls; take accurate messages as needed.
- Manage scheduling, meeting coordination, and attorney calendars.
- Prepare and edit basic legal documents, correspondence, and internal communications.
- Maintain organized digital and physical filing systems in line with confidentiality protocols.
- Coordinate mail handling, messenger services, and office logistics.
- Assist attorneys with administrative support tasks, including time-entry and case tracking.
- Support document flow and organization within Microsoft 365 and SharePoint platforms.
- High school diploma required; Associate's or Bachelor's degree preferred.
- Minimum of 1–2 years of administrative or legal assistant experience, preferably in a legal or professional services environment.
- Fully bilingual (Spanish and English) — strong verbal and written communication required in both languages.
- Proficiency in Microsoft Office and comfort working with cloud-based tools (e.g., SharePoint).
- Strong interpersonal skills, professionalism, and attention to detail.
- Ability to manage multiple tasks in a fast-paced, high-standard environment.
- Familiarity with document management systems to efficiently organize files.
- Excellent proofreading abilities to ensure accuracy in all legal documents.
- Highly organized with the ability to manage multiple tasks simultaneously while meeting deadlines.
