We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. - Manage front desk operations, including greeting visitors and handling inquiries.
- Operate multi-line phone systems to manage incoming calls efficiently.
- Perform data entry tasks accurately and maintain organized filing systems.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Prepare quotations and prepare requisitions for necessary equipment and materials.
- Prepare administrative reports, advances, travel settlements, vouchers and payroll using institutional resources.
- Maintain records of office equipment, property and software related to research projects.
- Enter purchase requisitions into the SIA system and follow up to ensure processing.
- Maintain office supplies inventory and place orders when necessary.
- Proofread documents for accuracy and clarity before distribution.
- Collaborate with team members to ensure effective office management.
- Support administrative functions such as typing reports, preparing presentations, and managing correspondence.
- Associate's degree from an accredited college or university and one (1) year of experience in similar administrative functions.
- or in lieu thereof fourth year of high school and two (2) years of experience in similar administrative functions or in lieu thereof have held an Administrative Assistant I position at the UPR with one (1) year of experience in that class.
- Proven experience in an administrative role or similar position.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and interpersonal communication skills.
- Bilingual abilities are a plus.
- Familiarity with clerical duties such as filing, data entry, and proofreading.
- Experience with front desk operations or as a dental/medical receptionist is preferred.
- Strong time management skills to handle multiple responsibilities efficiently.
